Using Contract View Pages

The Child Care Contract View Page offers details and information associated with account owners, children, schedules, registration options, and rates that are included in the Contract.

To access the View Page for a Child Care Contract from the Admin Portal:

  1. Select Child Care > Contracts.
    The Child Care menu displays the Accounts option
  2. Search for and select the desired Contract.
  3. Click View.

    If you select multiple items from a List View and click View, each item selected will be opened in a new tab in your browser.

Important Note:

Modern web browsers block the ability to open more than one new tab at a time. If you frequently open more than one item on a List View, we recommended adding a site-specific entry in your browser for your Arux domain (Example: school.arux.app) to allow pop-ups.

Child Care Contract View Page

Each Contract View Page has a main header and is then separated into three sections (from right to left): general contract information, data and tabs section, and action items. Each section is discussed further below.

Contract Header

The contract header displays the child's name, the name of the Program, the Site name, and can display any Tags that have been added to the contract.

Note:
  • Tags are visible to Admin users only. Account owners cannot view them from the Community Portal.
  • Tags that are added from the System Preferences for the child care program (System Preferences > Child Care > Program Name > On-Site Attendance App: tags to include) will be visible in Arux Connect: Child Care.

The header also includes the following options:

  • Reports ( ): You can run applicable reports for the contract.
  • Connect ( ): Allows you to send an email or a SMS text message to the account owners.
  • Share ( ): Provides a URL link and QR code linking to the account in Arux.

Info

The info panel contains basic contract information. This information can be collapsed by clicking the Collapse Arrow ( ) icon. Hovering over the Pencil ( ) icon displays the last updated date and time. Hovering over the Wand ( ) icon displays the contract created date and time.

  • Account: Displays the account number responsible for all costs associated with the care outlined in the contract. Clicking the account number displays the account View Page.
  • Child: Displays the child associated with the contract. Clicking the child's name will display their View Page. Hovering over a child's name will display their contact info.

  • Program: The program name is displayed. Clicking the program name will display the Program View Page.
  • Season: Displays the name of the season. Clicking the season name will display the Season View Page.
  • Site: Displays the name of the site the child will be attending according to the contract. Clicking the site name will display the Site View Page.
  • Schedule Type: The schedule type is displayed.
  • Rates: Displays information about the contract rates.
  • Scheduled Dates: Shows the number of selected dates for a Pick Your Days contract.
  • Assistance: Displays information about any child care assistance applied to the account.
  • Online: Indicates if the contract can be managed online from the Community Portal.
  • Agreements: Indicates any Agreements that were accepted during registration and displays the name of the user that accepted the Agreement. The icon next to the agreement reflects the agreement status as:
    • Green Check ( ): Accepted.
    • Orange Check ( ): Previously accepted but agreement has been updated since acceptance.
    • Red X ( ): Never Accepted.
Note:
  • Hovering over the Agreements icons displays information about the acceptance, including the Digital Signature if one was provided. If the agreement has been updated since the acceptance, then the last updated time of the agreement is displayed.

  • Depending on your screen resolution or browser size, the info section may collapse into the Data and Tabs panel and may be listed under More.

Data and Tabs

The data and tabs section gives you access to all of the contract details and is divided into tabbed categories relevant to the Contract and may include additional options or actions.

The Contract View Page tabs section shows data related to: Schedule, Activity Feed, Drop-In Days, Non-School Days, registration Q & A, Pickups, Responsibility, History, and Notes. Outlined below is a summary of each Contract tab.

Note:
  • Not all tabs will be displayed on all Contract pages. For example, the Non-School Day tab will only display if a user has registered for Non-School Day (NSD) care.
  • Depending on your screen resolution or browser size, some tabs may be listed under More.

Schedule

Displays the child’s contract schedule including sections, dates, and days of the week they are scheduled to attend.

Activity

The Activity tab displays scheduled attendance dates and all updates recorded from Arux Connect: Child Care, including signatures for sign in and sign out activity. Admins can review attendance details in both a timeline Feed view and a summarized Stats view.

Note:
  • The current day is highlighted in both Feed and Stats views.
  • Previous and future months can be selected with the Month drop-down or by clicking the Arrow icons next to the month.
  • Buttons are provided that allow you Edit Attendances or Edit Absences.

The activity Feed timeline displays daily attendance events for the contract, including scheduled care, sign-in and sign-out records, and other updates recorded throughout the day.

The Stats view provides a summarized view of attendance and care data for the child. Admins can quickly review:

  • Daily, weekly, and monthly totals for time spent in care
  • Recorded absences
  • Indicators for early drop-offs
  • Indicators for late pick-ups

Drop-In Days

Displays any drop-in days that have been scheduled or created through Arux Connect: Child Care or from the Admin Portal. Drop-in Days can be filtered by: Pending, Invoiced, Online, Unscheduled, or Upcoming.

A link to view all requests in a List View is provided.

Note:

If the Contract is in a Pending state, you can click the Add Drop-In or Add Drop-In Day buttons to add a Pending Drop-In day to the Contract.

  • The Search and Export options allow you to filter the Drop-In Days that are displayed on the View Page and export the data to your clipboard or CSV, Excel, and PDF file formats.
  • Clicking the Location name displays the Child Care Site View Page.
  • Clicking the Kebab ( ) icon under Actions provides options to Approve or Remove the Drop-In Day.
  • Clicking the Trash ( ) icon under Actions removes the Drop-In Day.

Non-School Days

Displays any Non-School Days (NSD) that have been scheduled or created through Arux Connect: Child Care or from the Admin Portal. Non-School Days can be filtered by: Pending, Invoiced, Online, On Site, or Upcoming.

A button to Approve All Pending requests and a link to view all requests in a List View are provided.

  • The Search and Export options allow you to filter the Non-School Days that are displayed on the View Page and export the data to your clipboard or CSV, Excel, and PDF file formats.
  • Clicking the Location name displays the Non-School Day Site View Page.
  • Clicking the Kebab ( ) icon under Actions provides options to Approve or Remove the Non-School Day.
  • Clicking the Trash ( ) icon under Actions removes the Non-School Day.

Q & A

The Q & A tab displays answers provided for Questions or Question Templates associated with the record.

Depending on the record type, answers may be grouped by participant, enrollee, contract, or questionnaire. The tab includes options to view answers in List or Table view, search names and answers, and filter the questions displayed.

  • List: Displays each question with the related responses listed below it.
  • Table: Displays participants or records in rows, with each question displayed as a column.
  • Filter: Allows you to choose which questions are displayed.
  • Search: Allows you to search names and answer text.

Click the Pencil ( ) icon next to an answer to edit the response, if editing is available for the record. Questions answered for System Field Questions cannot be edited in this way.

Note:
  • Questions that were previously removed from a Question or Question Template may still be displayed when they have recorded answers. These questions are retained so admins can review historical responses.
  • If a response to a question prompts the user with another question, the related sub-question response is displayed with the answer when available.
  • If a Digital Signature has been provided for a Question or Question Template, it will be displayed. Signatures cannot be modified from the Admin Portal.

Pickups

Displays a list of people who are authorized or not authorized to pick up each child listed on the child care contract. Each pickup may display their Phone number and Relationship to the child.

  • A blue House ( ) icon denotes if the users live together.
  • A red No ( ) icon denotes if the user is an Unauthorized Pickup.
  • Status Indicators display if the users are an Authorized Pickup or Emergency Contact.
  • Hovering over a person's name will display a pop-up with their basic details.
  • Clicking a person's name displays their View Page.
  • Clicking the Manage Authorized Pickups brings you to the Relationships tab of the user's View Page to add or modify Authorized Pickups.

Responsibility

Displays estimated totals for the Contract that is broken down by each Site Section, including: date Span, Rate, Charges, Discounts, Span Amount, and provides a estimated total for each Site Section.

If the Contract includes Assistance, the tab displays a break down of assistance amounts for each date span, including the Charges, Assistances, Span Amount, and an estimated total for the Contract.

Note:

All amounts displayed on the tab are estimates based on the contract's current schedule, discounts, and assistance. It is subject to change.

History

Displays the details of contract creation, updates, and approvals for the contract and includes: When the update was made, the User making the update, Description, and the State of the update.

  • The Search and Export options allow you to filter the updates in the History that are displayed on the View Page and export the data to your clipboard or CSV, Excel, and PDF file formats.
  • The history can include the name of the person who took action on the request and can include a link to the person's View Page.

Notes

Displays any Notes that have been added for the Child Care Contract and provides the Add Note option. Notes will display the name of the user who posted the note and the date/time that the Note was added or updated.

If unread Notes are present, the Notes tab displays a badge indicating the number of unread Notes.

Unread Notes are highlighted to help important updates stand out. Notes are automatically marked as read when viewed from the Notes tab, but you can also manually mark a Note as unread if you want to be reminded of it later.

When supported documents are attached to a note, an AI-generated summary may be displayed to help admins quickly understand the contents of the document. Whether summaries are created automatically or only when requested depends on your Artificial Intelligence settings in System Preferences.

Each Note provides the following options:

  • Unread ( ) icon: Allows you to toggle the Note to Read.
  • Read ( ) icon: Allows you to toggle the Note to Unread.
  • Pencil ( ) icon: Allows the Note to be edited.
  • Trash ( ) icon: Removes the Note.
    Removed Notes are not stored and are permanently deleted once removed.
  • Upload ( ) icon: Click to add files or drag and drop files to the icon to attach them.
  • Generate Summary (If enabled): Generates an AI summary for supported attached documents. If this option is not available, AI summaries are either disabled in System Preferences or the file type is not supported.
  • Actions (AI Summaries only): Allows you to remove the AI Summary from the Note.

Action Items

The Child Care Contract page’s action items section shows actions that can be taken on the contract. Below is a short synopsis of each action item.

Not all actions are available on all contract pages. For example, the actions will be different if a contract has not been accepted.

General

  • Accept: Unaccepted contracts will display the option to accept the contract.
  • Modify: Allows you to modify contract details.
  • Withdraw: Allows you to withdraw the contract and terminate it early.
  • Remove: Contracts that have not been invoiced and have not recorded any attendance data, can be removed.
  • Email Contract Confirmation: When a contract is accepted, a confirmation email is automatically sent to the account owner. If the account owner does not receive the confirmation email, you can manually trigger one.

Extensions

  • Add Registration Payment Method: Allows you to add a saved payment method that will be used for any registration fees or deposits.
  • Add Drop-In: For sites that allow drop-in days, you can schedule drop-in days for the contract.
  • Add Non-School: Allows you to schedule non-school day (NSD) care for children that normally require care, but the site is closed.
  • Add Pickup: Allows you to add users as Authorized Pickup or Unauthorized Pickup for children on this contract.
  • Add Attendance: Allows you to record daily attendance for the contract.
  • Add Absence: Allows you to record absences for the contract.

Tags

  • Assign Tags: Allows you to add, remove, and view all tags for that child care contract.
